GME Data Management Specialist

 

The MSM Graduate Medical Education (GME) Office supports and provides oversight to eight residency and fellowship training programs comprised of approximately 155 residents, 20 Program Directors/Associate Directors, 15 Program Managers/Assistants, and 250 faculty.  Under supervision and guidance of the Director for GME, the GME Data Management and Recruitment Specialist position provides support to the institution regarding all aspects of the GME residency management software system – New Innovations (NI), and the Electronic Residency Application Service (ERAS), as well as provides GME data management and reporting support.  This position reports directly to Director of Graduate Medical Education.

 

The incumbent of this position must have the ability to think ahead and determine potential outcomes based on facts and is able to manage his/her individual day-to-day activities and prioritizes as necessary to complete work both effectively and efficiently.

 

Under supervision and guidance of the GME Director this position:

  • Understands and uses basic ACGME Next Accreditation System (NAS) requirements to identify enhancements for implementation in the NI and ERAS systems.
  • Serves as MSM GME liaison with NI and ERAS to suggest improvements in functionality, (e.g., AIR and APE processes for NI and Scheduling and filters in ERAs)
  • Identifies and recommends solutions for new improved processes
  • Collaborates with the GME team in preparing workflow timelines which are shared with residents/PMs/PAs/PDs/faculty/APDs
  • Documents the historical communications sent via ERAS during recruitment season and NI during onboarding/ orientation season
  • Functions as a teacher to new program assistants and managers on NI and ERAS functionality
  • Assists program managers/assistants in understanding reporting capabilities of NI and ERAS to enhance their professional functionality
  • Ensures that the goals and objectives for NI and ERAS chosen by the Director of GME and DIO are met in a timely and effective manner by assuming primary responsibility for daily project management and implementation
  • Tracks data related to processes, guidelines and projects.
  • Collects data to present outcomes to interested parties and stakeholders in the form of presentations and other publications.
  • Generates trending reporting for Director of GME and DIO  
  • Creates an electronic file using NI as the platform for storing information and data relevant to program accreditation and generation of program scorecards

This position will assist the GME Director in GME Recruitment efforts by:

  1. Training Program Managers and Assistants in utilizing all aspects of ERAs to effectively and efficiently to identify quality candidates to interview per program criteria (Alternate ERAs Institutional Super User)
  2. Tracking and capturing pertinent recruitment data

 

Proven Skills and Abilities

  • Proven technical skills and abilities with web and computer based data systems and programs
  • Proven intermediate to expert level experience with Microsoft Office applications – Excel, Access, Word, PowerPoint, Publisher, Outlook, etc.
  • Proven ability to assist the GME Office in planning, administering, reviewing, evaluating, and reporting all activities related to software and data systems management and training.
  • Ability to prepare clear and concise reports, correspondence, and other written materials.
  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships.

 

Examples of Specific Duties

Assists the GME Director in providing support and training to the institution regarding all aspects of GME web-based software programs New Innovations (NI) and the Electronic Residency Application System (ERAS):

  • Fully implement the systems throughout all the residency training programs, including tailoring components to program needs.
  • Educate others regarding software upgrades and enhancements to the systems

    • Coordinate NI and ERAS training workshops (in conjunction and collaboration with the GME program assistant/manager workshops calendar)
    • Provide Resident/Faculty training sessions
    • Create instruction/directions/tools for all end users on an as needed basis
    • Monitor end user progress in various software components (schedules, evaluations, procedures logs, duty hours, PLAs)
    • Ensure Programs enter complete rotation periods/schedules for the AY (and continuity clinics where applicable) – for schedule based billing and seamless resident duty hour logging
    • Ensure programs are compliant in their usage of New Innovations for all ACGME requirements as needed. Specific tasks include:

      • Anonymity of Faculty evaluations, non-anonymity of Resident evaluations
      • Duty Hour logging, monitoring and reporting compliance
      • Milestone setup and reporting
      • Work with programs individually to assist in developing and implementing milestone evaluation
  • Evaluation Audits to determine that all programs are conducting ACGME required evaluations
    • Work with programs individually to assist in developing and implementing Procedure/Patient/Case Logs
  • Conduct audits and ensure programs are compliant with Program Letters of Agreement requirements
  • Assist GME Director with completion of institutional recruitment reports

 

Minimum Qualifications

• Associate’s degree from a regionally accredited college or university and three years of related working experience

Preferred Qualifications

Preferred Qualifications:
• Bachelor’s degree from a regionally accredited college or university
• At least three years’ experience working in a GME Office and/or Residency Program
• Previous working experience with utilizing a residency management system such as New Innovations, Med Hub, E-Value, etc. and ERAS)
• Previous experience in Graduate Medical Education, Undergraduate Medical Education, or Higher Education setting
• Previous experience working with and utilizing web based data systems
• Previous experience in a busy, high paced office environment
